Madrid System: Managing International Trademark Registrations – eMadrid

Once you’ve obtained an international trademark registration through WIPO’s Madrid System, it’s important that you keep it up to date. eMadrid – the Madrid System’s digital environment – provides access to all the tools and services you need. It includes:

Integrated workbench – Perform all your transactions securely (e.g. expand protection, change contact details, renew your registration) in one workbench with sorting, filtering and batch processing capabilities.
Collaboration features – Create ‘connections’ and share access rights to collaborate with team members.
Real-time updates and prompts – Stay informed with timely updates and alerts on key actions, ensuring you’re always on track with your trademark tasks.
Built-in guidance – Complete transactions online confidently, with validation, pre-populated fields, and step-by-step assistance that save time and reduce errors.

Access eMadrid

Your eMadrid workbench

eMadrid provides you with a personal workbench where you can manage all your international trademark registrations (“assets”). You can:

Check the status of protection of your trademarks
Access a complete history of all your transactions
Manage and renew your international trademark registrations
Share your assets with your connections and set roles and permissions
Organize your assets into portfolios, grouped by holder name, product type, class, etc.
Respond to irregularity letters
Make payments
Access your pending international trademark applications
And more.

Accessing your workbench

Login to eMadrid with your WIPO Account
Go to the “Manage your trademarks” tab.
Your workbench will contain by default all assets that share the same email address as the WIPO Account you used to login.

Empty workbench? Assets missing?

If your workbench is empty – or if assets are missing – then either:

There is no on-record email address for those assets (Contact us for assistance ); or
The email address we have on-record for your international trademark registration(s) is different from your WIPO Account email address. You should either:

Update the on-record email address for your international trademark registration(s) the email address using “Change holder details” (if you’re the holder) or “Manage representative” (if you’re the representative) (authorization (signature) is required); or
Search for the missing assets in the “Find and monitor” tab of eMadrid and add them to your workbench:
- Go to the "Find and monitor" tab in eMadrid
- Search for the missing international trademark registration(s) that you hold or manage by name or number
- Select the assets you want to add to your workbench
- Click "Add # assets to your workbench" and "Continue"
- Choose the level of access you need (Full access or custom access rights). For security reasons, you’ll need to indicate the on-record email address of the representative (if any); otherwise of the holder. That email address must be the same for all the assets you’re trying to add to your workbench.
- Click “Continue” and "Send".

Your request will be sent to the on-record email of the representative (if any), or of the holder. If they grant access, the asset(s) will be added to your workbench.

Using your workbench – in brief

Sort your workbench assets by date, name, country, class, and more, using the filters on the left-hand side of the workbench.
Tailor the information displayed to best suit your needs – for example, show representative name, expiration date, office of origin, and more. Click the cog wheel and select your preferred options.
Check your roles and permissions for each asset in the workbench. Click the cog wheel and select “Access rights”. Click above the workbench to validate your selection. Your role and permissions are now displayed in a new column.
Access and filter all your past transactions and payments using the dedicated tabs in your workbench.
Group assets together by holder name, product type, class, and more, using portfolios.

Performing transactions

Important: The actions that you can perform depend on the roles and permissions that you have for each asset in your workbench. Holders have full access rights to manage their assets and can allocate different roles and permissions to team members.

You can perform the following transactions on multiple assets:

Appoint or replace a representative
Cancel representative
Change details of current representative
Change holder details
Total change in ownership

All other transactions must be performed one asset at a time.

Request a change to one asset

Open the asset in your workbench, click on “Manage trademark” – or click on the three dots (…) to the right of the asset in your workbench
Choose from the list of actions displayed
Follow the prompts to complete your request and pay any WIPO fees (in Swiss francs).

Request a change to multiple assets

Select all relevant assets in your workbench
Click “Manage selected”
Choose from the list of actions displayed
Follow the prompts to complete your request and pay any WIPO fees (in Swiss francs).

Important: Holder or representative authorization (through electronic signature) may be required for some transactions. This will be indicated clearly. Requests not signed within 14 days will be cancelled.

Tip! You can track the status of your transactions directly in your workbench. We will send all communications related to your international trademark applications and registrations electronically. Find out more about electronic notifications.

Downloadable forms

You currently still have to manage just a few aspects of your international trademark registration(s) using downloadable forms. You can find details – and upload your completed forms – under the “Manage your trademarks” tab in eMadrid.

You can also exceptionally use our downloadable forms in case of system-level issues.

Check status of protection

You can check the status of protection of your international trademark registration(s) in each designated member through your eMadrid workbench:

Login to eMadrid with your WIPO Account
Go to “Manage your trademarks” to access your workbench
Open the relevant international trademark registration directly
Click the “Designation status” tab.

Where status of protection is “Protection Granted”, you can directly download a PDF document showing a status summary. If you need something more official, you can quickly order a certified document.
